Role: Partnerships and Events Assistant

Reports to: Partnerships and Programs Manager

Contract Dates: 15 weeks – December 4, 2023 until March 27, 2024, average of 21-24 hours/week.

Start Date: December 4, 2023. 60-day probationary period.

Pay: $23.50 CAD/hr, paid biweekly.

Location: Hybrid. Online and in-person, mostly in the GTA. Office located at 401 Richmond St. W, Toronto

Due to funding requirements, this position requires that all applicants must be a student registered and attending full or part-time post-secondary school, legally allowed to work in Canada according to the laws and regulations of the province or territory where they work, and either a Canadian citizen, permanent resident or a person granted refugee protection under the law.

About the Position

Reporting to the Partnerships and Programs Manager, this role is responsible for administrative and production support related to Ontario Culture Days projects, such as fundraisers and partnerships, ON Culture Guides, speakers series, Festival programming, and special projects.

Key Tasks

Event Production

  • Support all staff in the successful development of their community engaged programs, outreach activities, webinars and special events
  • Provide connection and support between staff and suppliers to carry out the successful development of projects
  • Help to execute special campaigns and projects

Administration and Documentation

  • Coordinate contract administration for all contractors and suppliers for relevant programs
  • Support and contribute to the proper management of images in the Lightroom system
  • With team members, develop program assessment mechanisms, and manage the execution of assessment before, during and after related programs. This includes: surveys, attendance tracking, and other related performance metrics as required.

Marketing and Communications

  • Liaise with production and marketing and communications staff to facilitate the successful collection and maintenance of program details.
  • Support production and marketing and communications staff to identify documentation and material requirements for each project, and support their successful execution (eg: image collection, document review)
  • Ensure all marketing materials and information are provided in a timely manner
  • Proactively flag additional content updates and edits on all Ontario Culture Days related websites

General

  • General Administration as required

  • Understand that tasks outside of those outlined may arise. Working with the small Ontario Culture Days team, this role requires flexibility and responsiveness to additional duties as assigned.
  • Identifying and resolving issues in a timely and professional manner.

Required Experience

  • Post secondary education in a related field of study (in-progress)
  • Experience working in a similar role, related to the arts, culture and heritage sector.
  • Be able to communicate clearly and effectively
  • Strong time-management and organizational skills
  • A solid understanding of Excel and Adobe Creative Suite
